About the Role

Primary Responsibilities
We are an office of approx. 30 architects, designers, and planners. We all wear many hats. In the role of Administrative Assistant, we'll count on you to:
• Work with Principals, Project Managers, Marketing Coordinator, and Office Manager/Accounting to prepare external communications: including proposals, brochures, fee proposals, contracts, presentations, award submittals, announcements, and reports
• Work with Principals, Project Managers, and Office Manager/Accounting to update data entry in Deltek Accounting & Project Management software
• Assist in organization of construction administration communications (RFIs, submittals, etc.)
• Assist with misc. office administration, such as ordering supplies, coordinating social activities,
and greeting guests

This is a part time position (24-30 hrs / wk). Our office policy allows for flexibility to work remotely and strongly encourages employees to be in the office a minimum of 2 days per week. Given the nature of this position, hours are flexible and negotiated core business hours are required to be in the office.

Requirements

  • Degree in a closely related field or combination of education and / or relevant experience

  • Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator), Microsoft Office (Outlook, Word, Excel, PowerPoint), and Deltek Accounting & Project Management software

  • Writing ability, organizational skills and ability to handle multiple tasks Ability to handle tight deadlines and make independent decisions, (i.e. does not need to be micro-managed to complete tasks)

  • Quick self-starter Experience in the A/E industry preferred Not afraid to ask questions and a good team attitude

  • Creativity, problem solving, patience, and resiliency

  • Strong communication skills

  • Associate's degree in business, marketing, or related field preferred but not required
